QuickBooks integration supplement

This supplements the existing Eastcoast AVL Ops privacy policy dated August 26, 2026, for the QuickBooks integration. Chlolin Systems, LLC provides Ops for Eastcoast AVL, LLC.

When the company owner authorizes QuickBooks, Ops may process the connected company identifier, product/service names, prices and purchase costs, customer names and business contact details, and estimate descriptions, quantities, totals, taxes, dates, and terms. OAuth access and refresh tokens are stored on the server and are not exposed in the browser. Client credentials are stored as encrypted server secrets. QuickBooks data is used to support authorized pricing, estimating, and job-management workflows. It is not sold, used for advertising, or sent to a generative AI service by this integration.

The integration exchanges these records with Intuit as requested by authorized staff. Supabase provides application authentication, database storage, and server functions; Cloudflare provides web hosting and access protection. Role permissions limit access to business records. Intuit and hosting providers have their own privacy policies. Diagnostic logs may contain operation names, error codes, request identifiers, and timestamps; credentials and token contents must not be logged.

Business records are retained for ongoing operations and applicable accounting, contract, warranty, safety, or legal needs. Disconnecting QuickBooks revokes the connection but does not itself delete historical records in Ops or QuickBooks. Authorized users can request access, correction, export, or deletion review by contacting info@eastcoastavl.com; retained records may remain where needed for contractual or legal obligations. Staff access can be disabled separately.

The application is an internal workforce tool and is not directed to children. No online service can guarantee uninterrupted availability or complete security. This policy does not grant public access to business records.

Plain-language summary

Eastcoast AVL Ops is private business operations software owned and
published by Chlolin Systems, LLC for Eastcoast AVL, LLC, a separate
operating company. Eastcoast AVL leases applicable equipment assets
from Chlolin Systems. The app does not sell personal information,
serve advertising, or track people across other companies’ apps and
websites.

Information the app handles

Authorized users may enter staff names and work contact information;
customer, venue, project, schedule, inventory, maintenance,
financial-assumption, and service records; and notes needed to operate
an AVL business.

When a user chooses to use the camera, microphone, or photo library, the
app may handle QR scans and job-related photos or video for site
surveys, rooms, stages, cable paths, equipment returns, damage evidence,
measurements, and training. The app does not activate these sensors
without a user action and operating-system permission.

How information is used

Information is used to schedule and document work, manage equipment,
prepare estimates and field packets, coordinate staff, preserve venue
knowledge, support customers, and improve reliability and security.

Storage, sharing, and integrations

In local-device mode, records remain on that device unless a user
exports or shares them. In connected mode, authorized business records
may be stored with service providers used to run the app. Information is
shared only with authorized staff, contractors, customers, and service
providers as needed for the requested business workflow or as required
by law.

Optional integrations, such as calendar, accounting, or storage
services, are used only when configured and authorized. Their own
privacy terms also apply.

Retention and security

Business records are retained while needed for active operations,
contracts, warranty and service history, safety, accounting, or legal
obligations. Chlolin Systems uses role-based access and reasonable
technical and organizational safeguards, but no storage system can be
guaranteed completely secure.

Your choices and requests

Users can deny camera, microphone, or photo access in device settings
and continue using features that do not require them. Eastcoast AVL
staff accounts are invite-only; the app does not offer public account
creation. To request access, correction, export, deactivation, or
deletion of an account or associated personal information, email
info@eastcoastavl.com. Some business records may need to be retained for contractual,
safety, accounting, or legal reasons.

Children

The app is a workforce and business tool and is not directed to
children.

Policy changes

This policy may be updated as the app improves. The effective date above
will be changed when a revision is published.
